Reminders and Updates for GENESIS Welcome Desk Team:
- Leading with hospitality: this is a time of lots of transition for everyone. We assume the best of the people we serve with, knowing that there will be challenges. We want to try to meet whatever needs we can especially for new kids and families. We will go above and beyond to help all kids walk with GOD!
- Please try to make notes for clarity and documentation
- Write notes on the clipboard giving clarity especially for new families.
- Try to avoid adding duplicates of people.
- We can add “authorized persons” to check someone in.
- We can add non-authorized people, or names of people who SHOULD NOT pick up a child (make sure to let Jane / Jennabeth know if there is someone who should not be picking up). This only shows up when you switch to checkout (which we don't use) but is a place to check if a person is non-authorized if you have someone who “lost their sticker.”
- Each time we give out a bandaid or any first aid (including an ice pack), we need to fill out an incident report. The form will be open on a computer. If a child has an injury such as a scratch you cannot see and was not a result of accident, it is okay to not do an incident report (for example, if a child needs a band aid for comfort but not because of injury). If there is any doubt, fill it out! We want to make sure we have information for parents if needed, even if it seems minor.
Details about mobile church at Woburn High:
- We will have activity bags available both at desk and in sanctuary.
- We will have a single bathroom, it is important to make sure kids get handed off directly to a Welcome Desk Team Member or Coordinator when they are going to and from the bathroom as it is a longer walk than we are used to.
- NEW as of 9/29, we can use the first set of bathrooms IF no one is in them. We have to make sure NO ONE goes in while the child is using the bathroom. Please ask people to wait or to walk to the other set of bathrooms (down the hall and on the left hand side).
- There is no printer for printing rosters. The tables / classrooms will be making lists and we will cross-check using the lists that we currently print (taking photo with phone and send to Jane/Jennabeth as well).
- There will be multiple check in stations with computers and ipads. If we have long lines we can encourage parents to download church center app, they can check in their kids on that and then scan it at the ipads to print the tags (it does not officially check them in until it is scanned).
- Parents need to walk kids to age group/grade group - it is a longer walk, kids should not be going alone, let’s encourage 1 parent to escort the child vs. entire families (this will help with the volume of people in the kid’s space).
- There will be table signs on table for all age groups. Early childhood (0-4 year olds) are at the top of the ramp on the right hand side. Elementary age children are down the ramp and to the right, towards the end of the cafe. Children in 5th grade are encouraged to sit with the families in the service but *may attend GK if they would like to.
- There will be snack for nursery (up to pre-K) - The lead will ask parents if it is ok to give the child puffs on the classroom roster when the child checks in.
- All kids have been graduated to the next grade in the GENESIS Kids system, and should go to the grade they are going into this academic year. Please confirm their grade when helping to check in a family. Kid’s going into Kindergarten will need to have that specifically added to their profile.
- Any Changes to a kids grade for church at the HS - should be written down so that we can correct it when they go to State Street (EX a 5 year old that is not going into Kindergarten - can be checked into Kindergarten while at the HS - but will need to be moved back to the 4-5 year old class at State St)
- There will be welcome bags which include cards to invite to new space at 11 State.
- First aid kit is at welcome center (not in classrooms). For mobile it will be just inside the doors on the cart.
- Please remind and encourage parents to take their child to the bathroom BEFORE attending GK. Also remind them that while we are at the HS - we will contact them by putting the security code on the screen.
